Using AI Resume Screening with a softgarden Integration

Everything you need to know to go from job creation in softgarden to running AI Resume Screening in HiPeople, end to end.

How the integration works

The softgarden x HiPeople integration connects your ATS workflows to HiPeople's AI Resume Screening. Once set up, moving a candidate to a specific pipeline stage in softgarden automatically triggers HiPeople to run the screening.

Setting up the integration

Before using AI Resume Screening with softgarden, the integration needs to be configured once. Here's how:

  1. Reach out to HiPeople and let us know you'd like to integrate with softgarden. We'll provide you with an authentication token.

  2. Contact softgarden support and let them know you want to enable HiPeople as an Assessment vendor. Share the token HiPeople provided.

  3. Tell softgarden which workflow(s) should include the HiPeople integration, and which pipeline stage should trigger the export to HiPeople.

  4. Once softgarden confirms the setup, the integration is live.

From that point on, any job created using the configured workflow will automatically send candidate data to HiPeople when a candidate reaches the trigger stage.

Using AI Resume Screening with softgarden

Step 1: Create a job in softgarden

Go to Jobs and click "Create Job." You'll go through a four-step wizard:

  1. Definition: Fill in Job Category, Industry, Employment Type, Working Experience, Career Level, and Working Hours.

  2. Description: Add the job description.

  3. Qualification: Optionally add screening questions and rating criteria.

  4. Workflow: Select the workflow that was configured with softgarden support to include the HiPeople integration. This is important: only jobs created with that workflow will trigger the HiPeople export when candidates move through the pipeline.

Click "Continue to Promote" when done.

Step 2: Publish the job

In the Job Promotion screen, move through the Free Channels and Premium Channels steps according to your regular flow, then finish the process until you publish the job.

Step 3: Add a test candidate to the job

Note: The first candidate sent to HiPeople is what creates the job on the HiPeople side, which is required before you can set up AI Resume Screening. To trigger this without using a real candidate, add a test candidate first and move them to the trigger stage. Once the job appears in HiPeople, you can configure the screening and then start adding real candidates.

Open the job and go to the Applications tab. Click the "+" button to add an application.

Add an attachment and fill in the candidate details (name and email required) and click "Add Application." The candidate will appear in the New stage.

Step 4: Move the candidate to the trigger stage

Move the candidate to the pipeline stage that was configured to trigger the HiPeople export. Once they reach that stage, the integration fires automatically and HiPeople receives the candidate data.

Note: softgarden sends data to HiPeople every 5 minutes, so it may take up to 5 minutes for the job to appear in HiPeople.

Step 5: Set up AI Resume Screening in HiPeople

Once the job appears in HiPeople, open it from the Jobs list.

You'll see an "Action Required" warning prompting you to set up Screening. Click "Set up."

  • Step 5a: Describe your ideal candidate

On the "Describe your ideal candidate" screen, you can either upload a file (such as a job description, kick-off meeting notes, requirements doc, or others) or add a note describing what you're looking for in free text.

Note: due to the nature of the integration, the Job Description isn't automatically pulled from softgarden, so you can add it manually, either by attaching the job description as a file or by adding it as a note via the "Add a note" button.

Once you add all of the materials (job description, additional notes, or ideal profiles), click Continue.

HiPeople will then analyze the role and automatically generate screening criteria.

  • Step 5b: Review screening criteria

On the "Review screening criteria" screen, HiPeople presents AI-generated criteria organized by importance: Must have, Important, and Nice to have. Each criterion has a title, a prompt describing what to evaluate, and an importance level you can adjust.

You can:

  • Click any criterion to edit its title, prompt, or importance level

  • Add new criteria using the "+ Add criteria" button

  • Delete criteria you don't need

Once you're happy with the criteria, click Continue.

  • Step 5c: Upload resumes (skip)

You'll be prompted to upload resumes to start screening immediately. Since the integration with softgarden will send candidates automatically, you can click "Skip, start without resumes" to complete the setup and wait for candidates to come through from softgarden.

  • Step 6: Screening is live

The screening setup is complete. You'll land on the Screening tab of the job, which shows candidate stats (Candidates, Screened, Flagged for Fraud, Average Score, Highest Score) and candidate lists organized by status: To Review, Advanced, Rejected, Flagged, Unscreened.

From this point on, candidates moved to the trigger stage in softgarden will appear in HiPeople automatically and be screened against your criteria.
