ATS integrations do a lot of work behind the scenes, and sometimes things don’t look exactly as expected. This guide walks through the most common ATS-related issues or questions in HiPeople and explains what’s going on, why it happens, and how to keep things on track.
I created a job in my ATS, but can’t find it in HiPeople. Why?
If you’re using a pull integration, job syncing is not always instant.
Most ATS integrations sync jobs and other data in batches every 2 to 3 hours. If you’ve just created the job in your ATS, it may simply not have synced yet. In that case, waiting for the next sync is usually enough.
If more than a few hours have passed, you can manually trigger a sync by going to the Jobs page in HiPeople and clicking Sync jobs.
If the job still doesn’t appear, double-check that ATS Sync is enabled in your organization settings. You can find this under Organization settings → Integrations. This toggle is what allows jobs to be automatically synced from your ATS into HiPeople.
I see several jobs in HiPeople with the “ATS Imported” tag. What does that mean?
The ATS Imported tag means that the job was automatically created in HiPeople by your ATS integration.
If you have a pull integration enabled and ATS Sync turned on, any job you create in your ATS will be synced into HiPeople automatically. Jobs created this way will always show the ATS Imported tag so you can easily tell they came from your ATS and not from a manual setup.
This is expected behavior and does not indicate an issue.
I see more than one job with the same name and the “ATS Imported” tag. How can I tell them apart?
In some cases, you may see multiple jobs with the same name if similar roles were created more than once in your ATS.
To differentiate between them, hover your mouse over the ATS Imported tag in HiPeople. This will show the ATS job ID associated with that job.
You can then go to your ATS and look for the matching job ID. The ID is usually visible in the job’s URL or on the job details page. Matching the IDs is the most reliable way to confirm which HiPeople job corresponds to which ATS job.
My jobs are being created under the user “Test User”. Why?
Jobs are assigned to a creator in HiPeople based on email matching.
If the email address used in your ATS does not exactly match the email address of a user in HiPeople, we’re unable to map the job to the correct person. When that happens, the job is created under Test User.
This can also occur if the same email is associated with more than one HiPeople organization.
